Use of the Community Room

The Haysville Community Library welcomes the use of its meeting rooms for activities of a civic, cultural, or educational nature and for the discussion of current public questions. The meeting rooms are available to nonprofit organizations regardless of the beliefs or affiliations of their members. Duly constituted political groups may use the room, but temporary committees for the advancement of an individual's success in a political campaign shall be denied such use. Library-oriented programs will be given preference for use of the room. Any group using the building on a regular basis must meet the annual fee requirements. Profit-making organizations are not eligible to schedule the meeting room.

No Private Parties.
No admission fee may be charged, nor collection taken. The only exceptions are in the case of paid registration at conferences or institutes, held in cooperation with the Library, or payment of fees for regularly scheduled education courses sponsored by nonprofit organizations.
No products may be sold, except in payment for materials required for educational or group discussion use.
Refreshment will be limited to drinks and light snacks except with permission of the Director.
No alcoholic beverages will be allowed on the premises.
Use of the stove and refrigerator will not be permitted without express permission of the Director.
The room must be cleaned and vacuumed: All tables and chairs should be returned to the configuration in which they were found. Trash bags should be taken to trash containers. Any spills should be wiped up. The deposit will be returned to the responsible party if the room is left clean. If the room is not left in satisfactory condition, the responsible party will forfeit the deposit.
Keys to equipment, cordless microphone and remote control must be returned to the Library immediately following usage. The refundable deposit will be returned to the responsible party if returned in good condition. The responsible party or group requesting use of the room must reimburse cost for lost items.
Users must not violate any law or ordinance of the City of Haysville
Users must not create any hazardous condition that would endager the participants or the property.
Noise must be kept at a level that will not disturb others in the building.
Scheduling must be done in advance and is contingent upon availability.
Should the thermostat be adjusted it must be returned to the previous settings.
All lights must be turned off except those for security.
The doors must be locked when meeting concludes.
No tobacco use is permitted inside the building.
No items belonging to any individual or group may be left on the premises.
All publicity (e.g. posters, brochures, flyers, radio or TV announcements) must carry the name of the organization sponsoring the meeting.
Neither name nor address of the Library may be used as the official address or headquarters of the organization except the Chamber of Commerce.
Program from the Library may not be broadcast or televised without the permission of the Director.
No group or organization of using the meeting room will discriminate on the basis of race, colour, national origin, gender, religion, age, sexual orientation or handicapped status in the provision of service.
Exceptions to these policies are possible only by permission of the Haysville Community Library Board.

Forms for usage of the room are available at the Circulation Desk. Two copies of this policy must be signed by the person/group reserving the meeting room. One copy will be kept on file with the Library, the other copy will be given to the person/group.
